Cleanfox Privacy Notice

This Notice is applicable and has an effective date as of April 21, 2025, for new cleanfox users and panelists.
For prior and existing Cleanfox users and panelists, this Notice will take effect beginning May 19, 2025, unless you acknowledge an in-app notice of these changes earlier. Until then, the terms in our previous Privacy Notice are applicable.
This Privacy Notice (“Notice”) describes how Cleanfox, made available by AC Nielsen SAS, (“Cleanfox,” “we,” “our,” or “us”), a NielsenIQ company, handles the Personal Information we collect, and the rights you may have over this information. We collect data through cleanfox.io (our “Website”) and the Cleanfox mobile application (the “App”). “Services” refers to the email inbox and subscription management services we offer through both Cleanfox’s App and Website. Our Cleanfox Health Data Notice supplements this Notice and describes our privacy practices as related to consumer health data.
Cleanfox belongs to the group of companies listed here, which together form the "NIQ Group." This Notice does not apply to any other product or service owned by NielsenIQ.
In this Notice, “Personal Information” means any information relating to an identified or identifiable individual (one who can be identified, directly or indirectly, in particular by reference to an identifier). This includes details like name, address, phone number, and emails, but also encompasses information derived from inferences and insights about you, such as your purchase habits, preferences, and interests. The term also includes “Personal Data,” or similar terms as defined in applicable law.
When we refer to “Sensitive Personal Information,” it means Personal Information that, if disclosed, could lead to identity theft, fraud, or significant harm to a consumer. This includes information revealing an individual’s racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, the processing of genetic data, biometric data for the purpose of identifying an individual, data concerning health, sex life, or sexual orientation. The term also includes “Special Category Personal Information,” or similar terms as defined in applicable law.
Notice at Collection of Personal Information
This Notice at Collection provides some key information about our privacy practices: the categories of Personal Information we collect; how we obtain, share, and maintain Personal Information; and how you can instruct Cleanfox to stop sharing your Personal Information.
For transparency purposes, please note that we do not use your name, address, or any directly identifiable information you provide to us for direct marketing or sales purposes to you. We never share this identifiable information with telemarketers, nor do we permit our business customers to use it for direct marketing or sales to you.
We collect the following categories of Personal Information through our Services:  

- Identifiers/Biographical Information, including your name, birth year, and email address, if you choose to use the App. We automatically collect device identifiers such as Internet Protocol (“IP”) address, and identifiers and other information that are stored in cookies and similar technologies.
- Commercial Information. If you connect Cleanfox to one or more of your email inboxes, we will collect copies of and information from the commercial email messages you receive, including but not limited to, transactional emails, purchase receipts, sales receipts, delivery confirmations and returns, subscription confirmations and cancellations, registration confirmations, and marketing and promotional emails. This Notice refers to these types of email messages as “Commercial Emails.”
- Internet or Other Electronic Network Activity Information, including the pages of our Services that you visit and the amount of time you spend viewing the Website or using the App, form field entries, IP address, push notification status, browser type, device type, operating system, and carrier.
- Approximate Location Information (city, region, country) based on the IP address assigned to the device that you use to access our Services.
- Sensitive Personal Information that may be revealed through your Commercial Emails, such as your race, ethnicity, health information, and the contents of your Commercial Emails.
- Protected Classification Characteristics, under California or Federal law, including your age, race, gender, and sexual orientation that may be revealed through your Commercial Emails. Inferences about your interest in purchasing certain types of products or services based on the categories of Personal Information listed above.
We collect these categories of Personal Information for two main reasons. First, we need to process your Personal Information to provide the App’s email inbox and subscription management services. Second, we provide Cleanfox’s customers with market intelligence, analytics, datasets, and measurement products, which afford them the ability to develop lookalike models and audiences for targeted advertising and to help them understand their markets and prospective customers. We refer to this as being a part of our “consumer panel” and make references throughout this Notice to our “panelists.”
USA: We may “sell” or “share” (as those terms are defined in applicable U.S. law) some types of Personal Information to third parties. If you enroll to use our Services as a panelist, we may provide Personal Information such as data about the Commercial Emails you receive, as well as some of your demographic characteristics, to customers such as e-commerce businesses, investment companies, consumer brands, media companies, and data brokers. As a reminder, your directly identifiable Personal Information will never be sold or shared with Cleanfox’s customers to target you or sell to you.
We do not knowingly sell or share Personal Information about individuals under the age of 18.
Our Services use Google Analytics to collect Personal Information, including identifiers and information about your activity on our Services for our remarketing, impression, demographic, and interest reporting. You can opt out of the use of this technology through the Google Analytics opt-out browser add on, your Google Ad Settings, your device’s Ad Settings for mobile apps, and the NAI’s consumer opt out.
For our Website: Navigate to Your Privacy Rights to opt out/withdraw consent of the sale or sharing of Personal Information collected through our Services. You may also choose to enable a browser-based signal that automatically communicates your preferences, such as the Global Privacy Control (“GPC”). Where required, we will process the GPC signal as a request to opt out of sales through the Website.
For our App: To opt out/withdraw consent of sales through the App, visit the “My Settings” menu and proceed to “Your Mailboxes” to select your email address, then “FoxIntelligence/NielsenIQ Panel” where you can indicate your preference. At present, we cannot use opt-out preference signals to opt you out of sales through the App.
Retention: We will retain your Personal Information for as long as reasonably necessary to fulfill the purposes described in this Notice, or to comply with our legal obligations, resolve disputes, and enforce our agreements. Our data retention period reflects several factors, including our relationship with users of our Services, the nature and sensitivity of Personal Information, and what is reasonably necessary and proportionate to provide and improve our Services.
1. How We COllect and Use Your Personal Information
We collect Personal Information (a) that you provide directly to us; (b) automatically when you use the Services; and (c) from third parties.
A - Information You Provide
We collect Personal Information from you when you enroll to use our Services. For instance, we collect the email address for each email account that you connect to Cleanfox’s service, and copies of the Commercial Emails received in that email account.
We use this Personal Information for the following business and commercial purposes:

- To operate, maintain, and improve our Cleanfox email inbox and subscription management services  
- To provide deidentified and aggregated reports to our customers, including reports relating to: marketing; retail sales measurement and analysis; product advertising and marketing strategies and tools; consumer preferences and demands; product innovation and development; consumer purchasing decisions, histories, and behaviors; competitor and market analysis; and supply chain management  
-> To develop lookalike models (the frameworks in how we organize groups of consumers who are likely to be interested in certain types of products and services), lookalike audiences (new audiences we create to mirror the characteristics of our panelists), and segments for customers’ targeted advertising (distinct groups within our audiences, categorized based on specific criteria such as demographics, interests, behaviors, or geographic location), and to ensure that you (our panelists) are not targeted for direct marketing or sales purposes and are removed from any such audiences or segments
- To measure the effectiveness of advertising campaigns that our customers conduct  
- To create pseudonymized or deidentified datasets about your transactions and the Commercial Emails you receive
- For analytics, insights, product development, and market dynamics and/or research  
Just to remind you, we do not use your name, address, or any directly identifiable information you provide to us for direct marketing or sales purposes to you. We never share this identifiable information with telemarketers, nor do we permit our business customers to use it for direct marketing or sales to you.
B - Information That We Automatically Collect
Our Services use cookies and other tracking technologies. When you visit and interact with our Services, we or our third-party advertising and analytics partners and service providers may use a variety of technologies, such as cookies, tags, SDKs or scripts, to collect information about how you use our Services. This includes information about your browser or device; approximate geographic location; and use of the Services (e.g., the pages of our Website you visit and how long you spend browsing them).
These technologies access and/or store information in your browser or on your devices to distinguish you from other users, make your site navigation more efficient, help remember your preferences, enhance your browsing experience, and improve the use, security, and functionality of our Services. When third parties place their own cookies, they may create identifiers that they associate with you or your device. They may then combine this information with other data sources for analytics or advertising purposes. For more information about tracking technologies and the rights you may have over this information, visit our Cookie Notice. To adjust your cookie settings, select “Your Cookie Choices” on the cookie banner, also located in the footer of our Website.
C - Information From Third-Party Sources
If you use Cleanfox’s email inbox and subscription management services as a panelist on our App, we may collect and combine information about you from third-party data providers. This includes demographic information, such as your city or region, which we use to improve the market research, analytics, and other products that we provide to Cleanfox’s customers
In addition, we may obtain information from third-party websites, advertising measurement vendors, and other sources about which ads have been displayed to you online, to help Cleanfox measure the effectiveness of ad campaigns.
Finally, we combine the information collected from our panelists with information provided by our customers, such as your purchase records. We use this combined information to perform analysis or to create lookalike models and audiences, helping our customers understand their prospective customers.
Rest assured, you are removed from these lookalike audiences. We do not target you based on your Commercial Emails, nor do we permit our customers to do so.
D - Other Uses of Personal Information
In addition to the uses described above, we use Personal Information from all categories of sources for these commercial and business purposes to the extent permitted under applicable law:

- To communicate with you, such as through bots, including to respond to your inquiries and to send you updates about the Services
- To monitor, protect, and maintain the security of our Services and our business
- To comply with applicable laws and regulations and respond to lawful requests for Personal Information  
- To carry out corporate restructures, sales, and business transactions in which information held by us is among the assets transferred or is otherwise relevant to the transaction
- To protect our rights, privacy, safety, property and/or those of others
- To fulfill any other purpose explained to you at the point of collection, or with your consent
2. HOW WE DISCLOSE YOUR PERSONAL INFORMATION
We may disclose your Personal Information (in accordance with applicable law) for the purposes described in the “How We Collect and Use Your Personal Information” section above to our customers, service providers, and third parties that provide advertising and analytics services.

- Our Customers. If you use Cleanfox’s email inbox and subscription management services as a panelist, we provide data about and derived from the Commercial Emails that you receive to some of our customers. As described above, we develop lookalike targeted advertising models, audiences, and segments and ensure that you (our panelists) are not targeted for direct marketing or sales purposes.
- Our Corporate Affiliates, which include our parent company and its subsidiaries listed here, the NIQ Group.
- Our Service Providers. We disclose your Personal Information to our service providers that provide business, professional, or technical support services to us, help us operate our business and the Services, or administer activities on our behalf. We require our service providers to only use your Personal Information in connection with providing services to Cleanfox.
- Advertising, Measurement, and Analytics Providers. We may disclose Personal Information to third parties to help create models that are used to deliver and evaluate customers’ advertising campaigns. In addition, we make available information from our Services to allow our analytics providers to help us understand how visitors use the Services and how to improve them. We also collect information about your interactions with emails we send to you, such as whether you forwarded the message or clicked through to our Website after opening it.
Remember, we do not permit our customers, partners, or service providers to target or market to you directly.
In certain circumstances, we may disclose each category of your Personal Information to:

- Governmental, Regulatory, and Public Authorities. We may disclose your Personal Information to government and law enforcement authorities to comply with legal or regulatory obligations or requests.  
- Relevant Third Parties as Part of a Corporate Transaction. In the event of a reorganization, merger, sale, joint venture, assignment, transfer, or other disposition of all or any portion of our business, assets, or stock (including in connection with a bankruptcy or similar proceeding), we may disclose or transfer your Personal Information to certain third parties, such as the acquiring entity and its advisers.
- Other Third Parties. We will disclose your Personal Information to other third parties at your direction or with your consent. Additionally, we will disclose your Personal Information as necessary or appropriate to: (a) comply with applicable law; (b) enforce our terms and conditions; (c) protect our operations; (d) protect our rights, privacy, safety, or property, and/or those of you or others; and (e) allow us to pursue available remedies or limit damages that we may sustain.
In addition, we may disclose your Personal Information for other reasons that we will describe at the time of information collection or prior to disclosing your information.
When we disclose Personal Information, we take contractual, technical, and organizational measures that are designed to limit the recipients’ use to specific purposes that are consistent with this Notice and in accordance with applicable law.
To the extent permitted under applicable law, we may deidentify or aggregate Personal Information so that it will no longer be considered Personal Information. Our use and disclosure of deidentified or aggregated information is not governed by this Notice.
3. Automated Decision making and profiling
We use automated processes to infer information about you and to create lookalike audiences that our customers use for interest-based advertising. To the extent that these activities constitute automated decision making or profiling, we take steps to do so in a fair and non-discriminatory manner. We do not process your Personal Information for profiling that produces a legal or similar significant effect, such as a decision to offer to you or decline your request for employment.
4. DATA AUTHORIZATIONS AND RESTRICTIONS
Your Data Authorizations. You authorize us to access and process your Personal Information by agreeing to this Notice and providing any necessary consent required by your email provider. You are not obligated to provide your Personal Information and can opt out/withdraw consent to our processing at any time. Without access to your Personal Information, we may not be able to provide the full range of our services or respond to your inquiries effectively.
Unsubscribing from our Marketing and Promotional Communications. From time to time, we may send you marketing and promotional communications from the NIQ Group. If you no longer wish to receive these emails from us, you may opt out by following the instructions included in any promotional or marketing email you receive from us.
Restricted Data Use. For users that signed into our Services through their Gmail account: Google restricts third parties from using its API tool to access Gmail account information ("Your Google User Data"). This restriction will not apply to other Gmail users that sign up for our Services by providing us with a Google App Password that was generated specifically as part of Google’s two-factor authentication process. To determine whether you are subject to this restriction, navigate to the “My Settings” page of your Cleanfox dashboard.
Additional Limits on Use of Your Google User Data: The following applies to information that Cleanfox collects and processes after June 1, 2019: Notwithstanding any other provisions in this Notice, if you (as a panelist) provide Cleanfox with access to Your Google User Data, Cleanfox’s use of that data will be subject to these additional restrictions:

- Our Services will only use the provided access to read, write, modify, or control Gmail message bodies (including attachments), metadata, headers, and settings for the purpose of providing Cleanfox’s email inbox and subscription management services and will not transfer this Gmail data to others unless doing so is necessary to provide and improve service features, comply with applicable law, or as part of a merger, acquisition, or sale of assets.
- Cleanfox will not use this Gmail data for serving advertisements.
- Cleanfox will not allow humans to read this data unless we have your affirmative agreement for specific messages, doing so is necessary for security purposes such as investigating abuse, to comply with applicable law, or for Cleanfox’s internal operations, and even then, only after we’ve aggregated and anonymized the data.
5. PRIVACY RIGHTS and choices for U.S. Users
A - Explanation of Privacy Rights and Choices
In accordance with applicable law (and subject to certain exceptions), you may have certain rights over your Personal Information, including the right to:

- Access your Personal Information (including access in a portable format). You may have the right to request a privacy report detailing the Personal Information collected, disclosed, sold, and shared about you and the purpose for doing so, unless your request proves impossible or would involve disproportionate effort to fulfill. We may not be required to respond to your requests “to know” or access specific pieces of Personal Information more than twice in any 12-month period.
- Request a list of third parties, with whom we have shared or sold your Personal Information. However, we are not required to provide the names of Cleanfox’s customers or other trade secrets.
- Delete your Personal Information, that we maintain about you, subject to certain exceptions. We are unable to delete your information without also deleting your account. Should you wish to delete your account, you can do so by following the instructions in our FAQs.
- Correct inaccurate Personal Information that we maintain about you, subject to appropriate verification.
- Opt out of sales, sharing, and targeted advertising (as defined by applicable law). You may request to opt out/withdraw consent of the sale or sharing of your Personal Information at any time by navigating to Your Privacy Rights also located in the footer of our Website, or you can email us at support@cleanfox.io with the subject line “Cleanfox Privacy Rights.”  Because we do not process your Personal Information for targeted advertising purposes, we do not offer an ability to opt out/withdraw consent of targeted advertising.
In addition, we will treat requests sent through GPC as a valid request to opt out of the sale or sharing of Personal Information linked to that browser and any consumer profile we have associated with that browser. If you use different browsers or browser profiles, you may need to enable the signal on each browser or profile. 
For the App: To opt out/withdraw consent of sales through the App, visit the “My Settings” menu and proceed to “Your Mailboxes” to select your email address, then “Foxintelligence/NielsenIQ Panel” where you can indicate your preference. At present, we cannot use opt-out preference signals to opt you out of sales through the App. 
- Limit use or disclosure of Sensitive Personal Information, or withdraw consent to process your Sensitive Personal Information, subject to certain exceptions.
- Appeal a decision we have made in connection with your privacy rights request. Please contact us via Your Privacy Rights or by email at support@cleanfox.io. You also may have a right to complain to your state’s Attorney General or supervisory authority.
B - Exercising Privacy Rights and Choices
The quickest way to exercise control over your Personal Information is through the self-service options available to you in the “My Settings” section of our dashboard once you’ve logged in through our App. Here, you can access, delete, and correct your Personal Information or opt out/withdraw your consent to our data processing.
To submit privacy rights requests (subject to limitations and exceptions under applicable law), you can select Your Privacy Rights, also located in the footer of our Website, or you can email us at support@cleanfox.io with the subject line “Cleanfox Privacy Rights.” Submitting a privacy rights request does not require you to create an account with us.
For the App: To opt out/withdraw consent, visit the “My Settings” menu and proceed to “Your Mailboxes” to select your email address, then “Foxintelligence/NielsenIQ Panel” where you can indicate your preference. At present, we cannot use opt-out preference signals to opt you out of sales through the App.
We may take steps to confirm your identity before responding to your request by asking you a series of questions about your previous interactions with us. We may decline a request (other than an opt-out request) if we are unable to confirm your identity (or an agent’s authority to make the request) and confirm the Personal Information we maintain relates to you.   We will not discriminate against you if you decide to exercise your privacy rights. 
C - Authorized Agent Requests  
Only you, or someone legally authorized to act on your behalf, may submit a request related to your Personal Information.
In accordance with applicable law, you may authorize someone to make a privacy rights request on your behalf (an “Authorized Agent”). To confirm their authority, Authorized Agents may need to demonstrate that you’ve authorized them to act on your behalf. Authorization must be done in writing and signed, and the writing must identify the agent and explain what request they are authorized to make. Your Authorized Agent must include a copy of this writing or a copy of a valid power of attorney with the request. Cleanfox retains the right to request confirmation directly from you, confirming that the agent is authorized to make such a request, or to request additional information that is necessary to identify you.

D - Industry-Based Advertising Choices  
In addition to the option to opt out of sale, sharing, and targeted advertising through our Services, you can opt out of receiving certain targeted or interest-based advertisements using tools provided by the advertising industry. You will still receive ads, but they might be less relevant to your interests.

- Digital Advertising Alliance (DAA): https://youradchoices.com/control. The DAA offers a tool (available at https://www.aboutads.info/appchoices) for opting out of the collection of cross-app data on mobile devices for interest-based advertising.
- European Interactive Digital Advertising Alliance (EDAA):
- Your device operating system may provide mechanisms that allow you to opt in or opt out of the use of information about your use of mobile apps to deliver interest-based advertising to your mobile device. For more information, consult your device settings.
You will need to opt out separately on all of your browsers and devices. If you delete or reset your cookies or mobile identifiers, change browsers, or use a different device, you may need to repeat the opt-out process for that device or browser.
6. PRIVACY RIGHTS and choices for NON-U.S. Users
Cleanfox, made available by AC NielsenIQ SAS, is the controller of Personal Information collected from or about panelists outside the U.S. This section provides further details about the privacy rights of panelists in these regions as well as Cleanfox’s storage periods and legal bases for processing Personal Information.
A - Privacy Rights and Choices  
To the extent provided for under applicable law, you may have certain rights in relation to your Personal Information, including:

- Right to Access: You have the right to request access to, or copies (and transmission) of, the Personal Information we hold about you and the purposes for which we are using it.
- Right to Rectify: You have the right to correct inaccurate or incomplete Personal Information that we have collected from and maintain about you, subject to appropriate verification.
- Right to Erase: You have the right to erase Personal Information pertaining to you, under certain conditions. We will assess any deletion request after confirming your identity and work to respond within applicable legal deadlines, and let you know if we need additional time.
- Right to Object: You have the right to object to processing of your Personal Information we process about you, under certain conditions.
- Right to Restrict: You have the right to restrict the processing of your Personal Information, under certain conditions.
- Right to Data Portability: You have the right to receive the data we have collected from you. Under certain conditions, you may request that we transfer your Personal Information to another organization, or directly to you.
- Right to Lodge a Complaint: You have the right to file a complaint with the supervisory authority in your jurisdiction.
- Right to Withdraw Your Consent: Where we rely on consent as the legal basis, you have the right to withdraw consent at any time with effect for the future.
You may also have the right not to be subject to a decision based solely on automated processing, including profiling which produces legal effects concerning you or similarly significantly affects you. As a reminder, we do not process your Personal Information for automated decision making, including profiling, that produces a legal or similar significant effect, such as a decision to offer to you or decline your request for employment.
At any time, you may request or assert any of the rights listed above by selecting Your Privacy Rights or by emailing us at support@cleanfox.io. If you believe there has been a violation of your privacy rights, please contact us or the supervisory authority.

Copies of your Commercial Emails are stored and processed until you either opt out of the panel, delete your account, or ask us to stop processing it. Certain Commercial Information may be aggregated or deidentified by removing your identifying information. Such aggregated or deidentified data may be stored indefinitely, as it is not Personal Information governed by this Notice.
